The Rose Garden Bower and Oasis Garden Terrace are available for Level 1 events. Clients may use the existing garden benches, seat walls, and chairs in the venue(s) they are renting, but may not erect tents, or bring additional furniture, decorations, or other paraphernalia to the site as part of the space rental. Level 1 events may not include catering services, food, beverages, entertainment (such as DJ’s, bands, or amplified music such as that used for dancing), and activities such as dancing. Appropriate events in this category include small weddings. There may be acoustic music or low-volume amplification for ceremonial music, such as that associated with weddings. The rental period is any two consecutive hours between 9:00 a.m. and 9:00 p.m. as agreed upon with the Arboretum’s event and marketing coordinator and specified in the rental agreement.

The Overlook Pavilion, Esplanade, Birch Overlook, Hawthorn Entry, Event Lawn, Poplar Court, and North Terrace are available for Level 2 events. These events may include tents1 and/or tables, chairs, or other furniture2 or decorations with prior authorization by the Arboretum’s event and marketing coordinator. Level 2 events may not include catering services, food, beverages, entertainment (such as DJ’s, bands, or amplified music such as that used for dancing), or activities such as dancing. There may be acoustic music or low-volume3 amplification for speakers and for ceremonial music, such as that associated with weddings. The rental period is any six consecutive hours4 between 9:00 a.m. and 9:00 p.m. as agreed upon with the Arboretum’s event and marketing coordinator and specified in the rental agreement. The only exceptions are the Saturday morning rental period, which begins at 7:00 a.m. and ends at 1:00 p.m., and the Friday weekday rental period, which begins at 9:00 a.m. and ends at 3:00 p.m.

The Overlook Pavilion, Esplanade, Birch Overlook, Hawthorn Entry, Event Lawn, Poplar Court, North Terrace, and Bigler Road Lawn are available for Level 3 events. In addition to tents and/or tables, chairs, or other furniture or decorations, Level 3 events may include catering services, food, beverages, and/or entertainment (such as musicians, bands, or amplified music) with the stipulation that clients must comply with municipal noise ordinances. Prior authorization by the Arboretum is required for all tents, furnishings, decorations, and entertainment acts or activities. The rental period is 9:00 a.m. through 9:00 p.m.5 or as agreed upon with the Arboretum’s event and marketing coordinator and specified in the rental agreement. The Arboretum does not rent venues for wedding receptions.6

NOTE: Clients are welcome to hold “open-air” events in the gardens during these rental periods, but are responsible for having alternate venues if inclement weather prevents them from holding their events. No refunds are granted for inclement weather.

1 Rates are provided for additional days (maximum of three in addition to the day of the event) for those venues where tents will be erected and removed by the rental company before and/or after the day of the event. In most spaces, maximum tent size is limited by the space available; however, in the Hawthorn Entry and Birch Overlook we restrict tent sizes to 1600 sq. ft. or less.

7 Note: The “Ridge and Valley” watershed sculpture, which is adjacent to the Overlook Pavilion’s canopied terrace, is not part of the event rental space.
8 Level 2 clients who determine that they will need more than six hours to conduct their event may do so only with prior approval from the Arboretum’s event and marketing coordinator, and will have to pay the Level 3 rental fee. If any client cannot complete the removal of event-related materials by 9:00 a.m. on the day following an event, the client will be charged the extended/tented day rate for that venue. If the venue is the Overlook Pavilion, the extended/tented day rate for the Event Lawn (entire) will be charged. Clients who rent the Overlook Pavilion on a Friday evening must remove all event-related materials by 7:00 a.m. the following morning.
9 The maximum capacity for gatherings in the Rose Garden Bower or the Oasis Garden Terrace is approximately 25 each.
10 “Small groups” are those containing fifteen or fewer individuals.
11 Those interested in bringing boxed meals to the Overlook Pavilion must contact the event coordinator to ask about venue availability, schedule their visit, and make arrangements to pay this fee. The public will not be excluded from the venue.
12 Tents are prohibited in April and October because high winds are common during these periods. Likewise, the side curtains at the Overlook Pavilion are not installed until after May 16 and they are removed by September 30 because they are not designed to withstand high winds. We do not rent the gardens from November through March.
